Quoting Specialist


Prepare, direct and coordinate quoting group benefits and products, such as determining the best products for different groups and identifying potential cross sell opportunities. Develop quoting strategies with the goal of maximizing the agency's profits and goals.

Essential Functions

  1. Create and maintain census data, renewal list, and status reports for renewal and prospect groups based on data in CRM.
  2. Prepare applications and/or specifications and review for accuracy and make suggestions for optional and additional coverages. Make submissions to insurance companies, follow up for quotes, negotiate with companies, and meet with producers to review/analyze marketing results for prepare for proposals.
  3. Awareness and familiarity with insurance company underwriting guidelines and authority.
  4. Keep current on all insurance company's coverages, rates, changes, forms, communications, etc.
  5. Ensure all carrier appointments and state licensing and carrier number
  6. Upon receipt of quotes from markets, maintain and deliver quote information to respective Account Managers/Account Executive and Producers. Recommend whether additional plan designs or carriers should be quoted based on market knowledge.
  7. Prepare and distribute quotes to prospective and renewal groups as information becomes available within specified timeframe as determined by the Account Executive and Producer.
  8. Prepare and submit RFP (Request for Proposals) to markets as selected by account management team.
  9. Coordinate with marketing team in the creation, update, and maintenance of benefit booklets and open enrollment.
  10. Maintain contact information for carriers and avenue for RFP submissions.
  11. Assist in creation of separation packets for clients, maintenance of medical calculator and any other tracking processes as needed.
  12. Contact carriers, producers and customers as needed.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • While performing the duties of this job this individual is regularly required to stand for long periods of time, walk, sit, talk, hear, use their hands and fingers (manual dexterity), use a telephone, and occasionally lift and /or move up to 15 pounds.
  • Specific vision abilities required by this position include, close vision, and the ability to adjust focus.

Position Type and Expected Hours of Work

  • This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.



Required Education and Experience

  • High School Diploma or GED
  • Minimum one year of Insurance experience or on the job training

  • Working knowledge and competency in use of agency management system, Microsoft Word, various insurance companies' rating systems as required.
  • Ability to use menu-driven software, agency management system and insurance company websites and rating systems in addition to Word and Excel programs
  • Ability to work independently
  • Good organizational skills with the ability to manage multiple tasks efficiently
  • Excellent interpersonal, communication and negotiation skills.
